Position Overview
The Family Day Care Administration Officer is responsible for ensuring the efficient operation of administrative tasks related to family day care services. This role requires strong organisational, communication, and customer service skills to support families, educators, and management. The officer will be responsible for maintaining accurate records, processing enrolments, and ensuring compliance with relevant regulations.
Key Responsibilities
Administrative Duties:
Maintain up-to-date and accurate records of educators, families, and children in the system.
Process new educator and child enrolments, ensuring all required documentation is completed.
Assist in the induction process of new educators, guiding them on policies, procedures, and software use.
Manage data entry and updates within systems such as Harmony Web.
Prepare reports, correspondence, newsletters, and meeting minutes as required.
Maintain a comprehensive filing and record-keeping system.
Handle incoming calls, emails, and other communications professionally and efficiently.
Organise appointments, meetings, and training sessions for educators and families.
Customer Service & Communication:
Act as the first point of contact for families and educators, ensuring high-quality customer service.
Provide information and assistance regarding childcare subsidies (CCS) and enrolment procedures.
Support educators with compliance documentation and ongoing communication.
Compliance & Regulatory Responsibilities:
Ensure adherence to Education and Care Services National Law and Regulations.
Maintain knowledge of National Quality Standards (NQS), Early Years Learning Framework (EYLF), and child protection policies.
Assist in monitoring compliance with child safety standards and other relevant legal requirements.
Follow privacy and confidentiality guidelines in handling sensitive information.
Qualifications & Experience
Experience in administrative roles, preferably in a childcare or educational setting is required.
Strong proficiency in Microsoft Office Suite (Word, Outlook).
Experience with Harmony Web or similar childcare management software (preferred).
Knowledge of the Child Care Subsidy (CCS) system is an advantage.
Current Working with Children Check (WWCC) and National Police Clearance (Have one or willing to obtain).
First Aid, CPR, and Child Protection training (Have one or willing to obtain).
