Your New Job
BPA is searching for a qualified and exceptionally organised Executive Assistant. The ideal candidate will have an all-rounder approach and is willing to support with daily Reception and some general office administrative tasks. The ideal candidate will also be a flexible and experienced professional who is committed to utilising their knowledge and expertise to supporting the Chief Executive Officer (CEO), Board President and Secretary, and the Executive Leadership team.
BPA is seeking a professional with initiative, proactiveness and who has a high standard of service and support excellence.
This role will provide direct support to the CEO. The Executive Assistant also provides coordination for Board and Committee Meetings, distributes meeting agendas and works in direct collaboration with the CEO, Board President and Secretary. The Executive Assistant will be required to attend meetings, take meeting minutes and efficiently distribute after CEO authorisation.
In the capacity of the Receptionist, this is an excellent opportunity to work within an inclusive and supportive Support Hub team. This exciting and unique role of Executive Assistant would appeal to a highly organised and efficient professional with a depth of demonstrated experience in similar roles. Attention to detail, and an excellent standard of written and communication skills are a must. A people-oriented, engaging and agile approach would also be well-regarded.
Joining the BPA Children's Service's team in this integral role, you will be a key point of contact and support for the CEO, Board President and Secretary, and the Executive Leadership Team.
On a day-to-day basis you will:
Efficiently manage the diaries of the CEO.
Efficiently collaborate with the CEO, Board President and Secretary.
Distribute CEO authroised agendas and meeting minutes.
Follow up actions to decisions and implementations.
Assist with onboarding and training requirements of Board members.
Sort, distribute and deal with incoming electronic and paper-based mail in a timely manner.
Effectively receive incoming telephone calls.
Meeting and greeting of clients at Reception.
Maintaining incoming general inbox emails and distribution.
Collaborate, contribute or be a key lead on some team projects, activities and initiatives.
Establish and maintain effective records and filing systems.
Accurately maintain organisational databases.
Efficiently organise stationary requirements.
Draft, type, format and distribute documents accurately, and in a timely manner when requested.
Assist in the preparation of Budgets and Business Plans.
Support to Board and Organisational Policies review.
Maintain a document management register.
Ensure the continuous improvement of executive support, administrative policies, practices and services.
Assist the CEO, Board President and Secretary with timely and accurate administrative and logistical support for internal and external functions.
Maintain and develop positive relationships and effective communication with all levels of the organisation.
The successful candidate will ideally have:
Completed qualifications in business administration, accounting or a related field preferred.
The ability to develop effective and positive working relationships with internal and external stakeholders.
Excellent written and verbal communication skills.
A solid understanding of policies and procedures.
A desire to continually learn and add value to our team.
Drivers License.
WWCC and current Police check.
